For offices in London, where space, interior quality and staff experience all carry weight, the meeting room is no longer simply a table with a screen on the wall. It is a working setting for client presentations, hybrid workshops, confidential discussions and decisions that may involve people in several locations. The technology needs to support those moments quietly, reliably and in a way that respects the architecture around it.
What meeting room AV integration should achieve
At its best, an integrated meeting room brings video conferencing, presentation sharing, audio, lighting, environmental control and network infrastructure into one intelligible system. The aim is not to add more technology. It is to remove the small points of failure that make a room feel awkward to use.
A member of staff should be able to walk in, select a meeting or connect a laptop, and know that the right display, camera and microphones will respond. A visiting client should not need a tutorial. Facilities teams should have visibility of a room’s status without being called to reset equipment after every booking.
This requires more than selecting good individual products. A premium display, camera and speaker system can still create a poor experience if they are specified in isolation, connected through an unreliable network or controlled by several unrelated apps. Integration gives each element a defined role and creates a single, coherent user journey.
Start with how the room will actually be used
The right AV scheme depends on the room, its users and the nature of the organisation. A boardroom used for formal presentations has different priorities from a project room that hosts frequent hybrid calls, or an executive office used for private discussions. In a larger boardroom, a single screen can leave participants at the far end struggling to read detail, while two displays may improve both content viewing and remote participation.

The essential layers of a well-integrated room
Video is often the most visible part of the system, but it is only one layer. Display selection must suit the room’s light levels and sightlines. A bright, high-resolution commercial display may be appropriate in a sunlit meeting room, while a projection solution can be effective where a large image is required and lighting can be carefully managed. The display should look intentional within the interior, with bracketry, cable routes and equipment positions resolved before installation.
Audio deserves equal attention. Remote participants will tolerate a less-than-perfect picture more readily than broken speech, echo or the sound of a busy office leaking into the call. Ceiling microphone arrays, tabletop microphones and soundbar systems each have their place. The right approach depends on room acoustics, ceiling design, participant numbers and how the table is used.
Cameras should frame people, not empty walls. In smaller rooms, an intelligent camera may automatically follow the active speaker or widen to include everyone. In more formal settings, carefully positioned fixed cameras can provide a more composed result. Camera placement should be agreed alongside lighting and joinery plans, rather than added after a room is complete.
Behind these visible elements sits the network system. Video calls, wireless sharing, room scheduling and control all depend on dependable connectivity. Network capacity, wired connections, Wi-Fi coverage, segmentation and resilience should be considered as part of the wider office technology strategy. AV cannot perform consistently on an afterthought network.
Control should feel obvious, not impressive
A meeting room can contain considerable technical capability without looking or feeling complicated. The control interface should be limited to the actions people genuinely need: start or join a call, share content, adjust volume, select a source and, where appropriate, control privacy or lighting.
A wall-mounted touch panel can provide a refined, permanent control point in a boardroom. In other rooms, a simple interface on the conferencing device may be more suitable. The choice depends on the desired experience and the level of integration with other building systems. One clear control screen is usually preferable to several remotes, separate display menus and instructions pinned to the wall.
Lighting control can make the room more effective as well as more polished. A presentation mode might lower blinds, adjust lighting near the display and maintain enough illumination for attendees to take notes. A video-call mode can support natural facial lighting without creating glare. If the building includes BMS systems, room occupancy and environmental settings can also be considered as part of the wider strategy.
The trade-off is that deeper integration needs careful commissioning. It should simplify the experience for the user, not make the room dependent on overly complex programming. Good system design accounts for simple recovery actions and sensible fallback behaviour when a device or service is unavailable.
Designing for hybrid meetings, not just video calls
Hybrid collaboration has moved beyond placing a webcam beneath a screen. People joining remotely need to hear each speaker clearly, see the room properly and follow shared material without feeling like observers. Those in the room should be able to focus on the conversation rather than repeatedly asking whether they can be heard.
This is where room acoustics and furniture planning become particularly valuable. Hard finishes, glazed partitions and high ceilings can introduce reverberation that no microphone can completely resolve. Acoustic treatment, well-judged speaker placement and careful microphone coverage can transform the quality of a call while remaining discreet within the design.
Content sharing should also be deliberate. Wireless sharing is convenient, but wired USB-C or HDMI connections remain useful for guest presenters and for situations where security policies limit wireless access. Providing both routes often gives the best balance of convenience and certainty. The technology should accommodate different working styles without forcing every meeting into one process.
Integration must be considered early in the project
Meeting room AV is easiest to conceal and simplest to maintain when it is planned with the wider fit-out. By the time ceilings are closed and joinery is finished, moving a camera, adding microphones or finding a route for cables can become disruptive and expensive.
Collaboration between the AV integrator, architect, interior designer, M&E consultant, IT team and contractor is particularly valuable during design development. It allows the team to coordinate containment, power, ventilation, rack locations, ceiling services and access for maintenance. It also avoids the familiar compromise of placing equipment wherever there happens to be a spare socket.
For multi-storey office developments, consistency across rooms is helpful, but it should not become rigidity. A common control language and support model make the estate easier to manage. Individual rooms can still be tailored to their purpose, scale and audience.
Commissioning and support protect the investment
Installation is not the final stage. Every integrated room should be commissioned thoroughly, with cameras framed, microphones tested, network performance checked and control sequences refined. Real-world testing matters: a system should be assessed from the perspective of someone joining remotely, sharing from a guest laptop and using the room under normal lighting conditions.
Training should be concise and practical. People do not need a technical lecture, but they should understand the room’s intended workflow and where to find help. Clear handover information also helps facilities and IT teams manage routine changes, software updates and first-line support.
Ongoing service is especially valuable where several rooms share central equipment or integrate with wider building controls. Technology platforms evolve, staff habits change and a carefully maintained system will continue to feel dependable long after the fit-out is complete.
